The three-ring rule: why criminal defense firms need to answer fast.

Your next client could be calling your firm right now. Who is going to answer — and how quickly?

The takeaway

The three-ring rule, as Austin Burt of Leads For Lawyers puts it to every subscribing firm: make answering within three rings the standard, because a person facing criminal charges is already anxious about the call and every unanswered ring gives them time to hang up and try another attorney. Train the greeting, and arrange a professional answering service so no call goes unanswered while you are in court.

Answer within three rings

They received your letter, read about your services and decided to reach out. Your marketing has done its job. Now the phone is ringing, and the only question that matters is who answers and how quickly.

After 34 years in legal marketing, my recommendation is simple: make answering within three rings your firm’s standard. A person facing criminal charges may already be anxious about making that call. Each unanswered ring gives them more time to hesitate, hang up, or try another attorney. When someone is ready to ask for help, your firm needs to be ready to respond.

The first few moments matter

Think about what it took for that person to call. They may have been staring at your letter for several minutes, deciding what to say. They may be worried about a court date, about missing work, about telling their family what happened. Picking up the phone can feel like a big step.

A prompt, welcoming answer helps them take the next one: “Thank you for calling [your firm]. My name is Sarah. How can I help you today?” That one greeting gives the caller an immediate human connection. Someone is there. Someone is listening. There is a path forward.

Your telephone is part of your marketing investment

Attorneys invest in direct mail, websites, advertising and every other way of generating inquiries, and every one of those investments depends on what happens when a prospective client responds. At Leads For Lawyers, our job is to put your firm’s message in the hands of people who may need representation. When that mailing produces a call, the opportunity needs immediate attention. If the phone rings unanswered, the firm loses a conversation it has already paid to create.

That is why I encourage attorneys to treat telephone coverage as a core part of the marketing budget, not an office expense. A strong campaign needs a dependable person at the other end of the line.

Build a plan for the calls you cannot answer

Even an excellent receptionist cannot answer every call — not while helping someone at the front desk, speaking with another caller, or at lunch. And a solo attorney without a secretary cannot reliably answer while in court or with a client. Your firm needs a backup plan.

A professional answering service can provide that coverage, but the quality of the experience matters. Look for a team that:

  • Answers promptly, with your firm’s name.
  • Speaks warmly and listens patiently.
  • Follows your intake instructions.
  • Collects accurate contact information.
  • Connects callers directly with an available attorney.
  • Gives a clear next step when an attorney cannot take the call.

The experience should feel like a natural extension of your office: personal, knowledgeable and organized.

A direct connection keeps the conversation moving

A message is useful. A live connection with an available attorney moves the conversation forward immediately. When a caller is ready to talk and the attorney is free, a service that can patch the call through removes a step — the prospective client can begin asking questions while the decision to seek help is still fresh.

When a transfer is not possible, the service should follow a clear callback procedure, and your firm needs to honor it. A promised call that never comes undoes everything the letter and the greeting earned.

A resource I share with Leads For Lawyers clients

More than twenty years ago I found an answering service that impressed me with its professionalism and its ability to connect callers directly with attorneys. Its repeated recognition since then as one of the country’s leading answering services has only reinforced my confidence in it.

I share that resource with attorneys when they become Leads For Lawyers clients, because I want them prepared to handle the inquiries our campaigns generate. Dependable, high-quality telephone coverage is, in my view, among the best investments a criminal defense firm can make.

The three-ring rule: make every ring count

Set the three-ring goal. Train the person answering your phone. Arrange reliable backup coverage. Make it easy for a prospective client to reach an attorney.

You have worked hard to give someone a reason to call your firm. When that call comes, answer like it matters — because it does.

Give them a reason to call. Then answer.
